The failure mode nobody selling automation software wants to open with: an automated ledger fails quietly. Manual books announce their errors through an unreconciled difference that will not close. Automated books hand you a tidy statement containing a confident wrong number. The bank balance matches, every transaction is coded, nothing is flagged, and the profit figure is still wrong because an inter-account transfer was posted as revenue and both sides balanced.

That is why we treat chart-of-accounts design and a categorisation review loop as part of the automation work rather than a prerequisite you handle first. A rule that codes 400 transactions a month correctly is worth building. The same rule pointed at a badly structured chart of accounts miscodes 400 transactions a month, reconciles cleanly every time, and nobody notices until a tax preparer asks why owner draws are sitting in operating expenses.

When automation is the wrong answer

Below roughly 200 transactions a month, most of this is not worth building. At that volume the mechanical work is a couple of hours a week, and the honest recommendation is a clean chart of accounts, three or four bank rules, receipt capture, and nothing else. We will tell you that on the call rather than sell you a pipeline you do not need.

The other case where automation should wait: books that are behind. Automating on top of a six-month backlog produces six months of confidently miscoded history. Cleanup comes first, then automation, and the cleanup is quoted separately because its cost depends entirely on how far back the gap runs.

Where does QuickBooks automation reliably get it wrong?

Three predictable places. Transfers between your own accounts get booked as income or expense, inflating both sides of the P&L. Owner draws get coded as business expenses. And a vendor supplying both consumables and capital equipment gets one rule applied to two different transaction types. All three survive reconciliation, because the bank balance still matches. These are the cases we route to a human by design.

What bookkeeping work should stay human?

Reconciliation review rather than reconciliation itself, weekly triage of the uncategorised bucket, month-end accruals, prepaid amortisation, inventory adjustments, and any journal entry involving judgment. Plus the quarterly question most businesses skip: are these rules still correct, or has the business changed shape since they were written?

Do you work cash basis or accrual?

Accrual by default, and this matters more than it sounds. Several well-known flat-rate bookkeeping services operate modified-cash-basis only. Also worth knowing: QuickBooks detail reports always default to accrual, and the Statement of Cash Flows has no cash-basis option at all. If your books lean on journal entries in place of invoices and bills, cash-basis reports come out badly wrong.

How long until it is actually running?
