What is GST Registration?
There is no single GST document list, which is why so many people arrive at the portal with the wrong set. A proprietor needs four things. A private limited company needs eleven, including a Digital Signature Certificate that a proprietor does not need at all.
The list below is organised the way the application actually works: identity and constitution proof for the entity, then authority for whoever signs, then proof of the principal place of business, then a bank proof. Get those four groups right and the application is straightforward. Get the third one wrong and you join the largest category of rejections.
This page is deliberately ungated. No email, no phone number, no download form. Print it, save it as a PDF, or send the link to whoever is collecting your paperwork.
Who Needs GST Registration?
Documents by entity type
Find your entity and collect everything in its row. The Digital Signature Certificate column is the one people miss: it is mandatory for companies and LLPs, and not needed at all for a proprietorship, partnership or HUF, which can sign with the Electronic Verification Code sent to the authorised signatory’s Aadhaar-linked mobile.
| Entity | Entity proof | People | Authority | DSC |
|---|---|---|---|---|
| Proprietorship | PAN of the proprietor | PAN, Aadhaar and photo of the proprietor | Not required | Not required |
| Partnership firm | PAN of the firm, partnership deed | PAN, Aadhaar and photo of every partner | Authorisation letter for the signatory | Not required |
| LLP | PAN of the LLP, incorporation certificate, LLP agreement | PAN, Aadhaar and photo of designated partners | Board resolution or authorisation letter | Mandatory |
| Private Limited / OPC | PAN of the company, incorporation certificate, MOA and AOA | PAN, Aadhaar and photo of every director | Board resolution appointing the signatory | Mandatory |
| HUF | PAN of the HUF | PAN, Aadhaar and photo of the Karta | Not required | Not required |
| Trust / Society / Section 8 | PAN of the entity, registration or trust deed | PAN, Aadhaar and photo of trustees or committee | Authorisation letter for the signatory | Mandatory for Section 8 |
Address proof: the part that decides most rejections
Every entity needs proof of its principal place of business, and this is where applications fail more often than anywhere else. What counts as acceptable depends on how you hold the premises, and the combinations below are what officers expect to see.
Two rules cut across all of them. The utility bill should be recent, generally within the last two or three months, and the whole document must be legible, not a cropped photograph of the part with the address on it. And the name on the bill has to reconcile with whoever is granting you the right to be there, which is what the NOC does.
| How you hold it | What to file | Common failure |
|---|---|---|
| Owned premises | Latest electricity bill or property tax receipt in the owner’s name | Bill older than three months, or a partial scan |
| Rented premises | Rent agreement, plus the owner’s utility bill, plus a signed NOC from the owner | NOC missing entirely, the single most common gap |
| Home office, owned | Electricity bill or property tax receipt in your own name | Bill in a parent or spouse’s name with no NOC |
| Home office, rented | Rent agreement, owner’s bill, and owner NOC | Informal tenancy with nothing in writing |
| Co-working space | Agreement with the operator, operator NOC, and the operator’s own ownership or lease proof | Only the desk agreement, with nothing proving the operator’s right |
| Shared family premises | Owner’s bill plus a signed consent letter from the owner | Assuming a family relationship removes the need for consent |
| Premises of a related company | Lease or licence agreement, plus utility bill, plus NOC | Verbal arrangement between group entities |
Bank proof, and when it is actually due
Bank details are the one item you may furnish after registration rather than with the application, and the deadline catches people out. They must be on the portal within 30 days of registration or before filing the first GSTR-1, whichever is earlier. Miss it and the registration is liable to suspension.
What is accepted is a cancelled cheque showing the entity name, a bank statement, or the first page of the passbook. Whichever you use, the account holder name has to match the registered entity exactly, not a proprietor’s personal account where the business is registered in a trade name.
File formats and sizes
The portal rejects oversized and wrongly formatted uploads without much explanation, which turns a five-minute task into an afternoon. The limits below are what the portal generally applies, and each upload field displays its own current limit, so check the field if it refuses a file.
| Item | Format | Typical limit |
|---|---|---|
| Photograph | JPEG | Around 100 KB |
| Constitution of business proof | PDF or JPEG | Around 1 MB |
| Address proof | PDF or JPEG | Around 1 MB |
| Bank proof | PDF or JPEG | Around 1 MB |
| Authorisation letter or board resolution | PDF or JPEG | Around 1 MB |
Check these before you file
Almost every avoidable rejection is caught by running this list before anything is submitted. It takes ten minutes and saves a fortnight.
Documents you do not need
Applicants routinely gather more than the portal asks for, usually on advice from someone describing a different entity type or an older version of the process.

Frequently Asked Questions
What documents are required for GST registration?
Four groups: proof of the entity itself, KYC for the people behind it, proof that the signatory is authorised, and proof of the principal place of business, plus a bank proof. The specific list depends on entity type. A proprietor needs PAN, Aadhaar, a photograph, address proof and bank proof. A private limited company additionally needs the incorporation certificate, MOA and AOA, KYC for every director, a board resolution, and a Digital Signature Certificate.
Do I need a Digital Signature Certificate?
Companies and LLPs must sign with a DSC. Proprietorships, partnerships and HUFs can sign using the Electronic Verification Code sent to the authorised signatory’s Aadhaar-linked mobile, so no DSC is needed.
What address proof works for a rented office?
Three documents together: the rent agreement, a recent utility bill in the owner’s name, and a signed no-objection certificate from the owner. The missing NOC is the single most common gap in rejected applications.
Can I register from a home address?
Yes. If you own the property, the latest electricity bill or property tax receipt in your name is enough. If it is rented, or the bill is in a parent or spouse’s name, you need the owner’s consent letter alongside it. A home office is not a weaker application, only one that needs its consent documented.
What about a co-working space?
You need the agreement with the operator, an NOC from the operator, and the operator’s own proof that they hold the premises. A desk agreement on its own does not establish that the operator can grant you a place of business, which is why co-working applications get queried.
How recent does the electricity bill have to be?
There is no single statutory number, but officers generally expect the latest bill, and anything beyond two or three months old invites a query. Use the most recent one you have, and upload the full page rather than a crop of the address.
When do I have to provide bank details?
Within 30 days of registration, or before filing your first GSTR-1, whichever comes first. A cancelled cheque, bank statement or passbook first page is accepted. The account holder name must match the registered entity. Missing the deadline makes the registration liable to suspension.
What file formats does the portal accept?
The photograph is JPEG at roughly 100 KB. Other documents are PDF or JPEG at roughly 1 MB. Each upload field shows its own current limit, so check the field itself if a file is refused rather than assuming the document is wrong.
Is this checklist free to use and share?
Yes. It is deliberately ungated, with no email or phone number required. Print it, save it as a PDF from your browser, or send the link to whoever is collecting your paperwork.
